AWITA Membership Terms & Conditions

The Association of Women in the Arts aims to bring together inspirational women working in the arts to collaborate, mentor one another, share contacts and create a new kind of community. We believe that by working together we can collectively benefit our members in their career advancement, thereby increasing representation of women at senior levels in the art world. In order to support this vision we ask that our members embrace our founding principles and adhere to our membership terms. 

1. Our Principles 

  • Ensure greater recognition of, and support for the achievement of women in the art world.

  • Support collaboration to expand existing and to create new projects.

  • Encourage the next generation of young women interested in pursuing a career in the art world.

  • Promote equal employment practices in the cultural sector.

2. Membership Conduct

AWITA strives to maintain best practices in our industry. We therefore request that our members adhere to the following guidelines:

  • Professional Conduct: Members are expected to behave appropriately when attending AWITA events and treat fellow members with courtesy and respect. Any form of harassment, discrimination, or unprofessional conduct will not be tolerated.

  • Business Dealings: AWITA is not responsible for any business dealings conducted between members. However, if the introduction is via the AWITA network, both parties are expected to conform to the highest standards of professionalism in the art world.

  • Feedback and Reporting: We encourage an environment of honesty and trust. Members are urged to report any behavior that could bring AWITA into disrepute to the AWITA Board. In the event of inappropriate behavior or failure to comply with these guidelines, AWITA reserves the right to revoke membership immediately, pending a final decision by our Executive Committee.

  • Authority to Represent AWITA: Members do not have the authority to act or speak on behalf of AWITA unless explicitly approved by one of the AWITA Co-Founders.

  • Publicity and Privacy: Upon membership acceptance, we reserve the right to list your name and job title on our printed materials, website, and social media channels (i.e., Facebook, Twitter, LinkedIn, Instagram). Members can opt out by contacting office@awita.london. Please allow 14 working days to process your request.

  • Photography and Marketing: We may take photographs at our events for promotional and marketing purposes. By attending our events, you consent to the use of these images. If you prefer not to have your photograph taken, please inform us in advance or notify the photographer on the day.

3. AWITA Organisational Structure

AWITA London is a non-profit company limited by guarantee (UK).

AWITA Switzerland is a licensed chapter of AWITA operating as an independent Swiss association (Verein) under licence from AWITA London.

NXT GEN is an unincorporated partnership for emerging professionals between AWITA and All About Ltd. NXT GEN members are part of the wider AWITA community and are expected to adhere to the same conduct and values set out in these Terms & Conditions.

4. Membership Fees

4a. UK & International AWITA Membership

Membership delivered through AWITA London is subject to UK VAT at the prevailing rate where applicable.

Fees include:

  • In-person membership: £250 per year + 20% VAT

  • Online membership: £55 per year + 20% VAT or £5 per month + 20% VAT

  • Team membership: Starting from £400 per year + 20% VAT

Membership renews automatically unless cancelled in writing at least 30 working days before renewal. Termination requests must be sent to membership@awita.london.

4b. Switzerland Membership

Membership in Switzerland is delivered through AWITA Switzerland (Verein). Swiss membership fees are not subject to UK or Swiss VAT.

Fees include

  • In-person membership: 250 CHF per year

  • Team membership: Starting from 400 CHF per year

4c. NXT GEN Membership

Membership delivered through NXT GEN London is subject to UK VAT at the prevailing rate where applicable.

Fees include:

  • £12 per month (inclusive of VAT)

  • £120 per year (inclusive of VAT)

4d. Membership Renewal: Membership renews automatically unless cancelled in writing at least 30 working days before renewal. Upon expiry of the membership, the member will no longer be entitled to receive any membership benefits.

4e. Non-payment and Termination: If the relevant office has not heard from the member within 30 days of their acceptance, we reserve the right to withdraw their membership offer. If the relevant office has not received payment within 14 days of a reminder, we reserve the right to withdraw the membership.

5. Data Protection & Privacy

AWITA processes personal data in accordance with applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Swiss Federal Act on Data Protection (FADP, in force September 2023).

5.1 Data Controllers

Depending on your membership type and location, your personal data is processed by AWITA London (UK) or AWITA Switzerland (Verein) as independent data controllers. Data sharing between entities is limited to what is necessary for the operation of the membership programme and is carried out in accordance with applicable law.

5.2 Purpose and Legal Basis

We process your personal data for the following purposes:

  • Membership administration and renewal

  • Delivery of events, programmes, and member communications

  • Processing payments via Stripe or Gocardless

  • Maintaining our membership directory and website listings

The legal basis for processing is the performance of your membership contract, our legitimate interests in operating the organisation, and where required, your consent.

5.3 Payment Processing

Payments are processed securely by Stripe or Gocardless. Gocardless and Stripe acts as an independent data processor and processes your payment data in accordance with its own privacy policy. 5.4 Data Retention

We retain your personal data for the duration of your membership and for 3 years thereafter, unless a longer retention period is required by law or legitimate business need.

5.5 Cross-Border Data Transfers

Your data may be transferred between Switzerland and the United Kingdom. The UK has been recognised by Switzerland as providing an adequate level of data protection. Any transfers beyond these jurisdictions will be carried out with appropriate safeguards in place.

5.6 Your Rights

Depending on your location, you have the right to:

  • Access the personal data we hold about you

  • Request correction of inaccurate data

  • Request deletion of your data, subject to our legal obligations

  • Restrict or object to certain processing activities

  • Withdraw consent where processing is based on consent

5.7 Third Parties

Beyond Stripe, we may share data with third-party platforms used to deliver membership services, including [event registration platform, e.g. Eventbrite] and our website provider. These parties act as data processors and are required to handle your data in accordance with applicable law.

5.8 Changes to this Section

Any material changes to how we process personal data will be communicated to members by email in advance of taking effect.

6. Amendments

AWITA reserves the right to amend these terms and conditions at any time. Members will be notified of any changes via email or our official communication channels. Continued membership after any such amendments shall constitute your consent to such changes.

7.Acceptance of Terms

By joining AWITA, you agree to comply with these terms and conditions and to uphold the values and mission of our community.
